Since last September, I have been serving as an apartment representative alongside my main job and childcare responsibilities. What started as a simple desire to solve problems in our apartment complex turned into a challenging journey filled with unexpectedly complex and sometimes irrational situations.
Fortunately, AI technology has been tremendously helpful, and recently I received the good news that my proposal for the 'Yuseong Magic Community Activation Project' was selected. I'm both excited and somewhat burdened about executing this 4 million won project over the next 6 months, on top of my already busy schedule. Nevertheless, my experience utilizing AI LLMs over the past 8 months has been so valuable that I wanted to share insights on how AI can be effectively used in everyday situations.
1. Efficient Analysis and Management of Vast Information
Being an apartment representative involves dealing with countless reports, regulations, complaints, and real-time group discussions. Sometimes deliberately distorted or incomplete information circulates, making problem identification even more difficult. I used AI to quickly analyze and summarize this information.
For example, when conflicting technical reports emerged during the elevator rope replacement controversy, I used AI to thoroughly analyze them in a short time, identifying the problems with the absurd claim that 'complete elevator replacement was necessary' with objective data, preparing documentation that left no room for rebuttal.
I converted long meeting and phone recordings to text and summarized them for efficient information sharing, even summarizing KakaoTalk conversations to track key discussion flows. AI also helped quickly search for successful cases from other apartments and support program information for cultural program planning.
2. Data-Driven Rational Decision Making
Without AI's objective information analysis capabilities, I might have been swayed by cleverly distorted information or emotional arguments. By visualizing and analyzing management office staff turnover data with AI, I clearly identified patterns of dramatically increased turnover after certain points, providing strong evidence for discussions about fundamental solutions like hiring new administrative staff.
For gym facility repairs, when proposals attempted to inflate simple repairs into complete renovations, I used AI to compare costs and methods from similar cases, enabling me to present cost-effective alternatives. I also used AI to analyze resident survey results for cultural programs to specify project content for grant applications, helping make data-driven rational decisions.
AI was particularly powerful in securing clear data evidence to counter irrational claims or suspicious intentions, providing support without emotional exhaustion while continuously producing documentation.
3. Objective and Neutral Communication Support
Apartment issues involving various stakeholders can easily escalate into emotional conflicts. While maintaining objectivity as a representative is important, it's easy to be misunderstood or get emotionally involved. AI helped me use maximally objective and neutral expressions when writing notices or opinions on sensitive matters.
When making formal requests for fact-checking about inappropriate behavior or raising issues about procedural violations, AI helped review relevant regulations and similar cases to prepare logical response strategies. AI also helped prepare objective rebuttals based on relevant laws and management regulations against attempts to interfere with legitimate activities or apply unfair pressure.
Additionally, AI helped create positive and attractive promotional messages to effectively inform residents about new cultural events and lecture programs, contributing to community harmony.
4. The Value and Prospects of AI Utilization
Looking back on my apartment representative activities, AI was essential. Thanks to AI, I could efficiently process vast amounts of information, make data-based rational decisions, and communicate more effectively with residents.
Especially in abnormal situations where common sense and procedures were ignored, AI provided powerful weapons of objective facts and data, enabling me to tackle problem-solving. Furthermore, AI empowered me to plan and execute positive and creative activities like the 'Community Activation Project,' adding new value to the community.
Without AI, I would have struggled under the weight of information distortion and irrational situations, unable to perform properly. Moreover, since this wasn't even my main job, I wouldn't have dared to conceive new projects or write complex proposals.
The greatest value of AI in activities with potential human conflicts was 'not getting emotionally exhausted while maintaining stamina.' Without AI in all these activities, I might have given up from exhaustion. However, thanks to AI that tirelessly processes data and provides objective opinions without being swayed by emotions as long as I organize and input the materials, I was able to persist to the end. I'm convinced that AI can significantly enhance efficiency and professionalism, especially in activities where complex human relationships are important, like apartment representative duties.
